Rental Terms & Conditions

Effective Date: June 13, 2025

1. Definitions

“We/Us/Our” means Gatwick Campers Ltd.

“You/Your” or “Customer” refers to the person(s) hiring the campervan.

“Vehicle” refers to the campervan hired under this Agreement.

“Agreement” means these Terms & Conditions together with the rental confirmation.


2. Rental Period

The hire period begins at the pickup time specified in your confirmation and ends when the vehicle is returned to our location at Rycoates, Victoria Road, Horley, Surrey, RH6 9BN.


3. Booking & Deposit

To confirm a booking, you must pay a non-refundable deposit of £250 (or other agreed sum).

Final balance is due 30 days before the rental start date. If paid later, cancellation charges apply per section 8.


4. Driver Requirements

The primary driver must be between 25 and 75 years old and hold a valid full UK/EU driving licence for at least 3 years.

Additional drivers must meet the same criteria.


5. Insurance & Security Deposit

Your hire includes comprehensive insurance with a standard excess of £1,250.

You must provide a security deposit (held on your card) of £1,500, fully refunded after inspection unless damage or breach has occurred.


6. Vehicle Use

Use the Vehicle in accordance with the manufacturer’s guidelines and not for:

  • Racing, towing, or off-road driving.
  • Illegal activities or transporting hazardous materials.
  • Violations of weight limits listed in the vehicle manual.
  • You are responsible for lost or damaged items (e.g., camping gear).


7. Mileage

Unlimited mileage is included within the UK.

Travel outside the UK requires prior approval and may incur additional fees.


8. Cancellations & Amendments

Cancellation by you:

  • 30+ days before: refund of balance (deposit retained).
  • 14–29 days: 50% of total hire cost.
  • Less than 14 days: 100% of total hire cost.
  • Amendments: Subject to availability and may incur an administration fee of £35.


9. Breakdowns & Accidents

In event of breakdown, call our 24‑hour helpline immediately: 01293 403 697.

For accidents, always call the police if necessary and do not admit fault. Notify us within 24 hours.


10. Fuel & Cleaning

Vehicles are supplied with a full tank; return it full. Failing to do so incurs refuelling charges plus administration fee.

Additional cleaning fees apply if the vehicle is returned excessively dirty (e.g., £100 valeting plus any extra costs).


11. Prohibited Activities

The vehicle must not be used for:

  • transporting illicit substances or weapons,
  • off-roading,
  • racing,
  • hire to third parties,
  • exceeding legal alcohol limit while driving.


12. Termination by Us

We reserve the right to terminate the hire agreement immediately if you:

  • breach any terms,
  • drive under influence,
  • use the vehicle improperly,
  • allow an unauthorised driver.


13. Liability

We accept no liability for loss or damage to personal belongings during hire.

Our total liability under this contract is limited to the total hire fee paid.


14. Personal Data

Your personal data will be handled per our Privacy Policy—available on our website—and in compliance with UK GDPR.
